Is your Zettelkasten functional?
A Zettelkasten is functional when it becomes an environment for thinking: a workspace that helps you move forward with your personal and professional projects, directly or indirectly.
Reaching this point is not trivial — there are many blockages that can prevent it. For example, misunderstandings about the method, technical issues, or even creative blocks.
The important thing to understand is that depending on the origin of the blockage, the solution will be different. If what’s holding you back is perfectionism, you don’t need more Zettelkasten theory — you need to learn how to manage your perfectionism.
That’s why I’m sharing here a classification of the most common blockages, according to where the source of the problem lies. This way, you can identify what needs improvement so your Zettelkasten becomes truly functional.
The four sources of blockage:
Your personal productivity system.
Your Zettelkasten is just one component of your broader productivity system. Therefore, issues in other parts of the system may be the reason your Zettelkasten doesn’t work. For example, poor time management might prevent you from dedicating the time necessary for it to function properly.Your Zettelkasten itself.
The tool you use to build your Zettelkasten is largely irrelevant… except when it becomes a source of friction or constant distraction. For instance, the temptation to endlessly tweak Obsidian’s functionality can become a constant source of distraction.The Zettelkasten method.
The method is the best way to make use of your Zettelkasten. Misunderstanding the method is a direct cause of dysfunction. For example, misinterpreting atomicity may lead you to split ideas into notes so small they become useless.The integration of your Zettelkasten.
A Zettelkasten is an environment for thinking. However, integrating it into your project workflows is not simple. You need to understand how the creative process works and what role your Zettelkasten should play in it. For instance, if you don’t align your Zettelkasten with your projects, you may never use it for your actual work, and it will remain more of a hobby than a true thinking environment.
I’ve experienced blockages from all of these sources. In a way, it’s natural: the Zettelkasten method invites you to review your entire workflow. What once worked may now fall short and create a blockage. The key is to identify where the blockage comes from and address the root cause.
